Producer Toolkit

Thank you for your interest in producing an event in Avon! The purpose of the Producer Toolkit is to provide you easy access to the tools needed to successfully produce your event in the Town of Avon and help assure you meet the contractual obligations outlined in your Event Agreement. Within this toolkit, you will find important documents, applications, permit, etc. as well as the Avon brand guidelines, key messages, and compelling photography.

There are two main sections in the Toolkit: 1.) Marketing Tools; and 2.) Permit Applications, Forms, Requirements and Policies. The contents of the two sections are described in detail below.


Marketing Tools
Avon Brand Platform Boilerplate / Copy (PDF)
This document will provide you with the Avon brand story as well as the brand essence, promise and positioning.  Additionally, it will provide you with a few key sentences you use can use in press releases, on websites, etc. when describing Avon.

Permit Applications/Forms/Requirements/Policies
  • Special Event Vendor Policies
    If you plan to have vendors on site this document will provide insight into site considerations, procedures for vendor business licensing, health and safety, access to power/electricity, water, etc. 
  • Avon Special Events Liquor License Permit
    If you would like to provide alcohol at your event, you will need to submit a Special Event Liquor License Permit Application to the Town Clerk not later than 60-days prior to your event.  The document in this folder will provide you with a brief overview.
  • Recommended Non-Profits for Liquor Licensing Policy
    If you plan to provide alcohol at your event, you will need a non-profit organization to hold the liquor permit.  This document provides a sample list of local non-profits from which to choose.
     
  • Prohibition of Marijuana Businesses Policy
    This document provides the policy direction regarding why the Town does not allow marijuana businesses at any Town events.
  • Outdoor Use of Amplified Sound Systems Application
    If you would like to request use amplified sound systems at your event, you will need to complete and submit this form to the Director of Festivals & Special Events
  • Sanitation Portable Minimum Requirements
    This document will guide you through determining the minimum number of portable restrooms required based off crowd size, food/beverage service and length of hours per day
  • Sanitation Resource Recovery Minimum Requirements
    This document will guide you through determining the minimum number of trash and recycling dumpsters and receptacles are required based off crowd size, food/beverage service and length of hours per day.
  • Special Event Asset List 
    If you received approval public funding from the Town of Avon, you have access to certain event assets such as power distribution equipment, tents, signage, etc.  This is a list of all the assets we have available for producer use.
  • Bridge Banner Application
    If you would like to request banner space on the rail road bridge over Avon Road, this permit application will need to be completed and submitted to the Director of Festivals & Special Events
  • Temporary Use Application
    If you would like to request use of private property, this permit application will need to be completed, signed by the private property owner and submitted to the Director of Festivals & Special Events.
  • Eagle River Fire Protection District - Tent Inspection Permit
    If there will be 400 sq. ft. of consecutive tented space at your event, this form will need to be completed and submitted to the ERFPD.
  • Avon Police Department Extra Duty Agreement
    If you would like to request uniformed Avon Police Officers presence at your event, this form will need to be completed and submitted to the Avon PD.  This form would be for officers above/beyond those that may be granted as in-kind.
  • Avon Performance Pavilion Technical Specifications
    This document provide all of the technical specifications for the Pavilion such as, stage deck size, power specifications, lighting system, etc.

    This is an example map of locations for infrastructure such as chain link fencing, dumpsters and portable restrooms; and, where Town power, etc. is located in the venue.
